Lead Wedding Coordinator
Remote for Planning, Onsite for Wedding Days
Contract Position, Part Time
Position Description:

Strong multi-tasking abilities. Be comfortable in a multi-task environment with frequent interruptions and short deadlines, and sometimes a high degree of pressure.

Is customer-service oriented. Deliver exceptional client care before, during, and after the event.

Has excellent communication and interpersonal skills necessary to interact with staff, vendors, and clients at all levels.

Coordinate, facilitate, and conduct event walk-throughs, ceremony rehearsals, and planning/design sessions, encouraging feedback and questions.

Provide logistical expertise and production and fabrication management.

Assist in formulating and implementing policies and procedures by encouraging ongoing feedback from colleagues, vendors, and clients.

Passion for food, wine, outstanding service, and relentless attention to detail.

Works a flexible schedule that includes events on nights and weekends frequently.

Manage the logistics and planning process: venue, vendor, and client logistics, timelines, load-in/load-out parameters, restrictions, permitting, and guidelines.

Lead or co-lead the team for event setup.

Ensure all events are adequately staffed.

Train and mentor coordination team.

Source and vet creative partners.

Source and create estimates to help develop and maintain budgets based on the principal planner and client needs.

Conduct client site visits, mockups, trials, walkthroughs, and approved tastings as needed.
Requirements:

3-5 Years of Event Planning experience with a planning and design team is strongly preferred—other valuable experience from hotels, resorts, country clubs, in the field, and rental companies.

Reliable vehicle that can travel long distances frequently, if needed.

Experience of working in a busy, high pressured environment.

Knowledge of most computer programs (the more, the better): Word, Excel, PowerPoint, Dropbox, Gmail, Social Tables, Aisle Planner, Canva, and Zoom.

Flexibility, working on weekends and evenings, typically long shifts

Ability to lift, stand, walk and/or sit continuously to perform essential job functions.

Must adhere to practices of occupational safety and health, including wearing personal protective equipment when required.

Must have high-speed internet.

Over-night travel throughout Phoenix, Sedona, and other cities is sometimes required.

Pay:

$20-$25 per hour depending on experience on event days.
